Email Ownership

There is still a distinct unwillingness to take ownership of email management despite widespread evidence of email abuse, it is claimed.

Most board directors and senior management remain blissfully unaware that they even have a problem with email. Companies must foster a new culture for email use, driven from the top, with the responsibility for compliance shared by all.

Companies are wasting thousands of pounds a year on lost staff productivity and unnecessary IT costs, such as increased bandwidth and storage, as well as leaving executive officers open to lawsuits, because they are still unaware of, or have no means of tracking the growing abuse of corporate email systems, claims Ian Davidson, UK Country Manager of Waterford Technologies. He adds: ‘In addition, because email is seen as an IT issue, no-one is prepared to take real ownership of email management within the organisation, which often results in a classic buck-passing exercise from IT to HR to the Board and back again.’ Waterford Technologies launched version 2.0 of MailMeter, an email management system targeted at any size of business to address issues such as employee productivity, corporate privacy, legal liability, bandwidth consumption or non-compliance with a company’s ‘acceptable usage policy’ for email.

It incorporates email reporting tools that can highlight trends, thresholds and usage patterns to empower the business managers to address the issues related to email usage more effectively, the makers say. The new features have been developed as a result of customer feedback. Ian Davidson adds: ‘To enable effective email management, the IT department must provide easy-to-use tools to business managers, allowing them to have the necessary reporting information available at their fingertips. Companies must foster a new culture for email usage driven from the top. Just taking today’s minimum wage, if 100 employees spend 20 minutes a day less on non work-related email, the saving to the business would be £32,000 a year.’
