Bid Manager | £60,000+ | Berkshire

Role Overview

The Bid Manager is responsible for leading the end-to-end bid process for large-scale projects, ensuring the delivery of high-quality, commercially sound, and technically compliant submissions.

Working closely with the Commercial Director, Project Director, Technical teams, and key manufacturing and distribution partners, the role includes interpreting specifications, reviewing drawings, and coordinating both internal and external stakeholders to produce competitive tender responses.

The Bid Manager will also oversee and develop Bid Team Assistant(s), driving consistency, efficiency, and continuous improvement. This role plays a critical part in securing new business and positioning the organisation as a leading provider within its sector.

Key Responsibilities

Bid Strategy & Planning

  • Review tender documentation and support bid/no-bid decisions alongside the Commercial Director
  • Develop bid strategies aligned with client requirements and business objectives
  • Contribute to win strategies, identifying risks, differentiators, and opportunity suitability
  • Plan and manage bid timelines to ensure all deadlines are achieved
  • Maintain and update the bid pipeline within internal CRM systems
  • Attend site visits and surveys where required
  • Support wider business development initiatives and growth plans
  • Assist the sales team with client presentations
  • Ensure all bid activity is accurately recorded and aligned with internal processes

Technical Review & Solution Development

  • Accurately interpret specifications, drawings, and client requirements
  • Work closely with technical teams to ensure all submissions are compliant and deliverable
  • Engage with key suppliers and manufacturers to develop fit-for-purpose solutions
  • Ensure proposals align with relevant standards and internal capabilities

Commercial & Proposal Development

  • Develop detailed cost models in collaboration with commercial and operational teams
  • Ensure all bids meet agreed margin targets
  • Prepare complete proposal documentation, including technical responses and pricing schedules
  • Carry out risk assessments on all submissions
  • Tailor proposals to reflect client priorities and project constraints
  • Provide monthly reporting to senior management covering:
    • Bid performance (win rates, margins, pipeline conversion)
    • Success rates and trends
    • Costing accuracy versus project outcomes

Stakeholder Coordination

  • Act as the central point of coordination for all bid activities
  • Liaise with Sales, Projects, and Technical teams to gather required inputs
  • Manage relationships with external partners, consultants, and suppliers during the bid process
  • Ensure clear communication and accountability across all stakeholders

Bid Quality & Compliance

  • Ensure all submissions meet tender specifications and industry standards
  • Maintain high standards of accuracy, presentation, and professionalism
  • Develop and maintain bid templates, standard responses, and supporting materials
  • Conduct final reviews with relevant teams prior to submission

Bid Team Management

  • Manage and develop Bid Team Assistant(s), ensuring clear delegation and accountability
  • Implement structured processes for document control and submission preparation
  • Provide training and guidance to improve team efficiency and output quality
  • Maintain a consistent and structured bid workflow
  • Clearly assign responsibilities across all bid activities
  • Ensure deadlines are met and progress is communicated effectively
  • Provide direction to eliminate duplication and reduce risk

Performance, Reporting & Continuous Improvement

  • Monitor and report on bid success rates, turnaround times, and pipeline performance
  • Conduct win/loss reviews with senior stakeholders to identify improvements
  • Maintain a central repository of bids, case studies, and lessons learned
  • Continuously refine bid processes to improve quality, efficiency, and win rates
